Short answer: customer retention rate is the share of your customers who come back. Take the customers you had at the end of a month, subtract the new ones, divide by the customers you had at the start and multiply by 100. Dopamine shows new, returning and lost customers for you, free.

What is customer retention rate?

It is the percentage of customers who keep coming back over a set period, usually a month. For a café, salon, restaurant or shop it answers one plain question: of the people who came last month, how many came again?

Most walk in businesses never see this number. The till shows sales, not people. Ten sales could be ten new faces or one regular coming ten times, and those are very different businesses.

How do you calculate customer retention rate?

Use this formula:

Retention rate = (customers at the end of the period minus new customers in the period) ÷ customers at the start × 100

Worked example for Cafe D, October:

Number Cafe D, October
Active customers on 1 October (S) 400
New customers during October (N) 120
Active customers on 31 October (E) 430
Retention rate: (430 minus 120) ÷ 400 × 100 77.5%

So 310 of the 400 customers Cafe D had at the start of the month were still coming at the end. The other 90 did not come back.

A simpler version for walk in businesses: count the customers who visited last month, then count how many of them visited again this month. Divide the second number by the first.

What is a good customer retention rate?

There is no single number that fits every café or salon. A coffee shop with daily regulars and a salon with clients who come every six weeks will never look the same. The useful test is your own trend: is this month better or worse than last month, and the same month last year?

Why it matters: research by Frederick Reichheld of Bain & Company found that raising customer retention by 5 percent can raise profits by 25 to 95 percent. Keeping a regular costs far less than finding a new one.

Two warning signs to watch:

  • The rate drops for two months in a row.
  • Lost customers grow faster than new ones.

New vs returning vs lost customers

Retention rate is one number. Splitting customers into three groups shows where the leak is.

Group Meaning What to do
New First visit this period Make the second visit easy: a reward that starts now
Returning Came before and came again Thank them, count their visits, mark milestones
Lost Came before, has not come back in their usual time A personal message before they forget you

Example: Mariam comes every Monday and is returning. Sarah joined last week and is new. Omar came every Friday until August and is lost. Without data they are all just sales.

One month at Cafe D: 120 new, 310 returning and 90 lost customers.

To spot the month customers stopped returning, compare the lost count month by month. A jump after a price change, a staff change or a quiet season tells you where to look.

How does the 80/20 rule apply?

The 80/20 rule says a small share of customers often brings most of the revenue. In a café that might be the regulars who come four times a week. Check your own numbers before you trust the rule: list customers by spend and see what share your top fifth brings. Those are the people your retention rate must protect first.

What is the retention rate formula for a café?

The same formula works: (customers at the end minus new customers) ÷ customers at the start × 100. A quick version is: customers from last month who came again this month ÷ all customers from last month.

What is a good customer retention rate?

There is no single benchmark for every café or salon. Compare your rate with last month and the same month last year, and act when it falls two months in a row.

What is the difference between new, returning and lost customers?

New customers visited for the first time this period. Returning customers came before and came again. Lost customers came before and have not come back in their usual time.

How can I see my retention rate without a spreadsheet?

Record visits as they happen. With Dopamine, customers join on WhatsApp by scanning a QR code, staff enter a short code and the bill, and the dashboard shows new, returning and lost customers.
