WhatsApp marketing for small businesses: messages that bring customers back

Most WhatsApp marketing from small businesses looks the same: one offer, sent to everyone, every few weeks. Some customers ignore it, some block the number, and the ones who were coming anyway get a discount they did not need.

The fix is simple. Before you write a message, decide who it is for. A customer on their 100th visit and a customer you have not seen in two months need completely different messages. This guide shows how to split your customers into groups and gives you ready to use WhatsApp messages for each one.

Step 1: split your customers into groups

You only need a handful of groups, based on how often customers visit and when they were last in:

Group Who they are What the message should do
Superstars Your most frequent and highest spending customers Make them feel recognised
Regulars Customers who come most weeks Celebrate milestones, otherwise leave them alone
Almost there One or two visits from a reward Encourage the next visit
New faces First visit in the last two weeks Give them a reason to come back
Gone quiet Regulars who have missed their usual visits Remind them you remember them
Dormant Regulars you have not seen for months Win them back with a real offer

The groups come from your visit data. If every customer joins your loyalty program on WhatsApp, the data builds up on its own. Our guide to customer retention management explains how.

Step 2: send each group the right message

Superstars: make them feel accomplished

Your best customers do not need a discount. They want to feel noticed. Celebrate milestones and give them a status worth keeping.

Congrats Mariam! 🎉 That’s your 100th visit with us. You’re officially one of our superstar customers. Your next drink is on the house, and thank you for being part of the family.

Hi Omar, you’ve been with us every week this year. You’ve unlocked superstar status: first taste of every new item on the menu, before anyone else.

Regulars: celebrate the milestones

Hi Sara, that was visit number 25! Thanks for making us part of your week. ☕

Keep these rare. A regular who hears from you every week starts to tune out.

Almost there: a nudge, not a discount

Hi Daniel, one more visit and your free coffee is yours. 🟩🟩🟩🟩⬜🎁 See you soon?

New faces: give them a reason to return

Hi Aisha, thanks for visiting us this week! Come back within 7 days and your second visit comes with a free pastry.

Gone quiet: remind them, personally

A regular who has missed a few of their usual visits has not left yet. They have just drifted. They usually come back with a friendly reminder, not an offer. Mention what they love.

Hi Ahmed, your favourite date latte is waiting for you. Drop by this week? ☕

Hi Lina, it’s been a little while! Your usual chair is free on Thursday if you fancy a trim.

Dormant: re engage with an offer and a deadline

Customers you have not seen for months need a real reason to return. A clear offer with a short deadline works best.

Hi Faisal, we miss you! Your next drink is on us if you visit in the next 5 days. Just show this message at the counter.

Hi Noor, it’s been a while and we’d love to see you again. Here’s 20% off your next appointment, valid until Sunday.

If they still do not come back, send one more personal note later, then stop. Customers who leave for good should not be chased.

Step 3: get the basics right

  • Only message customers who opted in. Customers who join your loyalty program on WhatsApp have agreed to hear from you. Never message bought or scraped numbers.
  • Use the WhatsApp Business API for campaigns. Messages a business starts must use templates approved by Meta. A proper platform handles this for you.
  • Use the customer’s name and their favourite item. “Your date latte is waiting” beats “Visit us today” every time.
  • Send at the right moment. Morning messages for breakfast cafés, afternoons for salons, before dinner for restaurants.
  • Keep it short. One idea, one action, under 40 words.
  • Do not over message. For most groups, one message a month is plenty.
  • Give staff the context. If a message promises a free drink, the counter team must know how to redeem it.

Step 4: measure what came back

Every campaign should answer one question: did it bring customers back, and was it worth it? Track:

  • How many customers in the group came back within 7 or 14 days
  • What they spent on that visit
  • The cost of the messages and any reward you gave

Keep the messages that work and rewrite the ones that do not.

Doing this automatically

Writing and timing these messages by hand works for a few dozen customers. Beyond that, it is a full time job. Dopamine does it for you: customers join on WhatsApp by scanning a QR code, visits are recorded, customers move between groups automatically, and each group gets its message at the right time, including win back messages on Autopilot. Frequently asked questions

Can small businesses use WhatsApp for marketing?

Yes, as long as customers have opted in and business started messages use approved templates through the WhatsApp Business API.

What should a WhatsApp marketing message include?

The customer’s name, one clear reason to visit, and one simple action. Mention their favourite item when you can.

How often should I send WhatsApp messages to customers?

For most customer groups, no more than once a month. Milestone and win back messages go out only when the customer qualifies.

Should every WhatsApp message include a discount?

No. Top customers and regulars respond better to recognition and reminders. Save discounts for customers who have not visited in months.

What is the best way to win back a customer who stopped visiting?

Send a personal message that shows you remember them, with a simple offer and a short deadline, such as a free drink if they visit within 5 days.
